Users: How to deal with them year-to-year?

When I first began using WordPress, I realized something: I'm going to have a lot of authors. I was tempted to just add a custom field for the author, but I didn't want to add the possibility of me screwing up typing in a name… so that's why I made every article author a user.

I was thinking about this summer, and the fall, and the fact that about 50% of the writers for next issue will be new. So what to do with those that graduate/quit/etc.?

I've searched the WordPress forums and elsewhere but I can't find anything. My idea would be to disable users, but still keep their info on the site… bascilly, get them out of the list of possible authors.

None of my authors log in to the site (thought that will hopefully change soon).

Has anyone else ran into this problem, and what sort of solutions have you done/thought of?

I think the best option would be to make the user a "Contributor." This is the lowest permission level (I believe) that allows you to keep articles associated with that author.

Well that's what I'm doing now. The problem is that now I have an endless list of users both on my screen to modify users, and when I go to select the post author for each new article. It's going to get crazy when I have a list of 100's of names… it would be better if I could change this input to a blank field that would auto-suggest names. But I think to do something like that might require a good amount of work… though it's probably possible.

I was thinking about this problem earlier as well… I don't have a solution at the moment, but I'd like to point out that you can of course jump to a point in a drop-down menu by typing the first few letters of an author's name. While it doesn't help clean things up, it helps reclaim some of the time lost by having such a large selection.

Haha, I'm aware. :) I think maybe I'll look at finding a piece of javascript that would work with WordPress to do this.

I'm actually tweaking the Co-authors plugin (which lets you assign multiple authors to a post) to replace the drop-down menus with a search-as-you-type/auto-suggest input box instead. That should hopefully solve part of your frustration, jowe. Depending on how much school interferes, I'll have a release soon :)

@Mo: Have you been in touch with the plugin's authors? Do you think they would roll your code into the original plugin?

Okay, so as per my above post, I decided to take a break from studying for exams and work on the plugin.

I should note that this is not production-ready. I mainly thought I'd throw the plugin out there to get some feedback (in terms of functionality, how it works, etc.), and to find and squash some of the bigger bugs. Moral of the story: don't install this on your production news site.

What's left to do:

  • Code clean-up on both client- and server-side.
  • Make it look pretty-er
  • Validation to ensure that you don't add the same author more than once.
  • Add the "Create New User" functionality (if I have time).

Some known issues:

  • The search returns  all users (including subscribers); you can try to add them, but it won't work.
  • I haven't tested in IE, but given all things relating to it, it's likely broken.
  • Losing focus from a text box should end edit mode
  • It doesn't solve world peace (yet)

If you have issues, ideas, etc., either add them here, or send me an email or twitter me.

@Daniel: No, I haven't contacted the original authors; I could, but then, I've basically torn apart much of their javascript, and in that vein I'm thinking of releasing it as a branch (a "plus" version). I'm open to be convinced otherwise though.

Mo, this is brilliant. This is going to make life at the Whitman Pioneer so much easier once the plugin becomes production ready. In the past I've simply been creating new authors when two people write an article; this has resulted in about a dozen "Jane Doe and John Smith" author accounts. When it does become production-ready if you need people to test it out and put it through its paces by all means let me know.

I've finally cleaned up the code and released it on the WordPress Plugin Directory. I've done basic testing FF3 and Safari 3 on OS X, and IE7 on Vista, and things seem to be fine. As always though, any issues, requests, etc. let me know.
